Job Description:Senior People Operations HR SpecialistWe're hiring! We are looking for a Senior People Operations HR Specialist to join our People Operations team in Hanoi, Vietnam. This includes end-to-end payroll processing, statutory compliance, employee benefits administration, workforce administration (including contracts and HR records), and immigration matters for foreign employees. The role will also contribute to regional payroll projects and continuous process improvement initiatives. The preferred candidate will have significant experience in Vietnam HR operations, payroll, and compliance, and demonstrate a proactive approach.Key Responsibilities:Payroll and Benefits AdministrationManage end-to-end monthly payroll processing in Vietnam ensuring accuracy, compliance, and timely delivery.Handle statutory filings, including Social Insurance, Health Insurance, Trade Union, and Personal Income Tax (PIT) submissions.Administer employee benefits programs, including but not limited to employee insurance, health checks, allowances, and other entitlements.Support the processing of Employee Share Option Plans (ESOPs) and other benefits-in-kind.Partner with external payroll vendors to ensure service quality and resolve payroll discrepancies.Act as the key liaison with government agencies, external vendors, and internal stakeholders on payroll and employee tax matters.Workforce Administration & ImmigrationManage people operations and lifecycle processes including onboarding, offboarding, contract renewals, probation confirmations, and employee changes.Maintain accurate and up-to-date employee records in HR systems and personnel files.Oversee work visa, work permit, and residence card applications/renewals for foreign employees, maintaining compliance with Vietnamese labor and immigration regulations.Act as the key liaison with government agencies, external vendors, and internal stakeholders on visa and immigration matters.Statutory Compliance and TaxationMaintain compliance with Vietnam labor laws, employment regulations, and tax legislation.Prepare and submit statutory reports and declarations to relevant authorities.Coordinate annual income tax reporting for employees and support tax clearance for foreign employees as needed.Support audits and internal compliance reviews.Projects and Process ImprovementProactively find opportunities to streamline people operations, payroll, and benefits processes for greater efficiency.Support regional payroll and people operation projects, ensuring alignment with global and regional initiatives.Contribute to the standardization and documentation of HR policies and practices across Vietnam offices.Stakeholder CollaborationServe as the first point of contact for employees and managers regarding payroll, tax, benefits, and HR operations.Partner closely with Finance, Compliance, and regional People Operations teams to ensure smooth execution of HR processes.Build strong working relationships with external vendors (payroll, insurance, immigration, etc.) to ensure effective service delivery.Skills and experience that will lead to successQualifications & ExperienceBachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent experience.Proven experience in HR operations, payroll, and statutory compliance in Vietnam, preferably within a multinational environment.Proficiency in Vietnamese labor legislation, Social Security benefits, Health Insurance policies, Trade Union involvement, and Personal Income Tax (PIT).Hands-on experience with Payroll, Benefits and Workforce administration, contracts, and employee record management.Experience with work permits, visas, and immigration processes for foreign employees.Familiarity with HRIS or payroll systems (e.g., Workday, Prosoft Unit4, ServiceNow) is an advantage.Skills & CompetenciesExcellent spoken and written English; able to communicate clearly with both local and international stakeholders.Solid attention to detail, numerical accuracy, and confidentiality while managing employee data.Organized, adaptable, and able to manage multiple priorities in a fast-paced environment.Collaborative teammate with a positive and proactive approach.Strong stakeholder management and vendor coordination skills.How we support our colleaguesIn addition to our comprehensive benefits package, we encourage an inclusive workforce.
