The Office Sourcing Manager is responsible for managing the daily sourcing operations and activities of the office. This role ensures the execution of effective sourcing strategies, supplier management, and product development processes while supporting team coordination and ensuring operational efficiency. The role acts as a key liaison between local suppliers and the headquarters, ensuring quality, cost-effectiveness, and timely delivery of goods.Key ResponsibilitiesSourcing Operations & Vendor Management
  • Manage sourcing activities across assigned product categories, ensuring alignment with company targets in quality, cost, and delivery timelines
  • Identify, evaluate, and develop new suppliers while maintaining and improving relationships with existing vendors
  • Negotiate prices, terms, and conditions with suppliers to drive cost efficiencies and meet product development deadlines
Team & Office Management
  • Oversee daily office operations to ensure a professional, organized, and functional work environment
  • Manage office budgets, supplier contracts (e.g., office lease, utilities, office supplies), and general procurement
  • Support HR functions such as onboarding logistics, staff leave records, and local compliance requirements
  • Act as point-of-contact for IT, legal, and other service providers related to office support
  • Organize internal meetings, business visits, vendor meetings, and external inspections as needed
Product Development & Quality Assurance
  • Collaborate closely with buyers and technical teams to ensure product specifications and compliance standards are met
  • Track sample development, approvals, and shipment progress to support timely decision making
  • Support quality control processes, including factory audits and corrective action follow-up
Reporting & Analysis
  • Prepare and present sourcing reports, supplier performance evaluations, and cost tracking analyses
  • Monitor market trends and supplier performance to identify opportunities for continuous improvement

  • Bachelor's degree in Supply Chain, Business Administration, or a related field
  • 5-8 years of experience in sourcing, preferably in a trading or buying office, with additional exposure to office administration / in export and manufacturing environments
  • Strong vendor management, negotiation, and communication skills
  • Detail-oriented with strong organizational and multitasking abilities
  • Experience in managing small office teams and coordinating cross-functional activities
  • 3 years working experience in a managerial level with solid experience in cost and budget management and personnel management and development
  • Excellent product and production cost and analysis knowledge
  • Solid quality system and production certification knowledge
  • Extensive knowledge of the buying market in terms of merchandise as well as in regard to export procedures, forwarding regulations, customs procedures and international payment terms
  • Basic knowledge of local trade- and labor- laws
  • Proficiency in computer skills
  • Fluent in writing and speaking English and Vietnamese
