Assist PM in providing administrative information and supervising daily operation tasksAdministrative tasks

Follow up sub-contractors’ contracts in all aspects;
Assist PM in preparing & arranging events such as residence conference, Christmas party, Year End party, etc.
Receive and resolve complaints from residents quickly & effectively;
Accomplish and update procedures when needed;
Plan working schedules for janitors and security guards;

Operation Tasks

Remain working area clean and in order;
Take responsible in working closely with sub- contractors in providing tools/ services and replacing tools/ staffs, ect.
Negotiate with suppliers and ensure all the services are provided timely and professionally;
Ensure that sub-contractors have to constantly apply working procedures for all maintenance contracts related to install equipment/ services and repair facilities;
Liaise with engineering department to ensure proper maintenance for all services such as air conditioning system, fire equipment, swimming pool, generator, security system and all shared building system;
Accomplish all policies and procedures under PM’s guidance;
Efficiently manage daily operation tasks;
Check daily task list of sub-contractors and staffs;
Ensure that all requests/feedback from residents are received and timely solved;
Check task-assigned list and number of staffs to make sure that the number is equal to fingerprint checklist;
Regularly check the number of staffs provided by sub-contractors

Report

Daily ckecklist;
Monthly evaluation of sub-contractors submitted to PM for final approval;

Other tasks

Maintain good relationship with local authorities.

REQUIREMENTSEducation

Graduate from College or University majoring in Business Administration, Hospitality or a related field
Diploma/Degree in Management

Communication skills

Strong interpersonal, negotiation and communication skills, for liaising with colleagues, customers and other stakeholders;

PC skills

Ability to work with IT resources such as databases and spreadsheets, for the collection and management of information;

Experience

At least 1-years experience in related fields;

Language

Proficient English (both speaking and writing);

Key characteristics

Excellent communication, interpersonal and writing skills;
Proactive, competent, flexible and willing to learn;
Excellent organizational and time management skills with the ability to multi-task;
